About the Role

This position provides comprehensive administrative support to ensure the smooth and efficient operation of the office. The Administrative Assistant will be responsible for a wide range of tasks, including but not limited to, managing schedules, coordinating meetings, handling correspondence and maintaining office systems.


Key Responsibilities:


  •  Greet visitors and provide general office support.

  •  Handle incoming and outgoing phone calls, emails, and mail.

  •  Manage calendars, schedule appointments, and coordinate meetings for staff.

  •  Maintain an organized digital filing system.

  •  Assist with the preparation of presentations, reports, and responses to Requests For Qualifications.

  •  Order office and kitchen supplies and maintain an organized inventory.

  •  Order food/drinks/catering for meetings and events as needed.

  •  Perform other duties as assigned.



Required Skills and Qualifications:


  •  High school diploma or equivalent; associate's degree or higher preferred.

  •  Proven experience in an administrative or office support role.

  •  Excellent organizational skills and attention to detail.

  •  Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  •  Strong communication skills, both written and verbal.

  •  Ability to prioritize tasks and manage time effectively.

  •  Ability to work independently and as part of a team.

  •  Knowledge of office procedures and equipment.


Preferred Skills and Qualifications:


  • Construction, Real Estate or similar field experience is a plus.

  • Experience with marketing related tasks such as graphic design, preparing reports and presentations, and assisting with visual content creation and design.

Project types may include but are not limited to office, education, multi-family, senior living, industrial, medical office, and laboratory facilities. The ideal candidate will have at least 5 years of proven experience in managing construction projects of multiple types across a variety of sectors, exceptional leadership and communication skills, and a strong ability to manage budgets, timelines, project teams, and client expectations.
